League Operator Agreement
Version 1.1 — effective 24 August 2026
This is the agreement between RaceLink Operations Pty Ltd (ACN 701 664 075, ABN 41 701 664 075), trading as RaceLink.io (“we”, “us”), and you, where you own a League on RaceLink (“you”, the “League Operator”). It sets out the data protection terms that apply when your members’ personal information is collected through RaceLink’s forms on your instructions — see Terms of Service clause 7, which requires you to accept this Agreement, and Privacy Policy section 5.
By accepting this Agreement, you accept it for every League you currently own and every League you become the owner of later — it is not re-accepted per League. If any part of this Agreement conflicts with the Terms of Service in relation to your members’ data, this Agreement prevails.
1. Controller and processor
You are the controller of the personal information your League collects from its members and prospective members through RaceLink — you decide what is asked, of whom, and why. We are the processor — we handle that information only on your documented instructions, given through RaceLink’s own tools (the Form Builder, League Messages, and similar features), except where we are required by law to do otherwise, in which case we will tell you before we comply unless the law prohibits this.
We do not use your League’s member data for our own purposes, and we do not combine it with other Leagues’ data except where the platform’s own operation requires it (for example, showing a member their own form submissions across Leagues they belong to).
2. What we process, for whom, and for how long

3. What you must not collect
You must not use RaceLink forms, messages, or any other feature to collect:
- health or medical information;
- government identifiers — passport, driver licence, tax file or social security numbers;
- bank account, card, or other financial account details;
- biometric information;
- information about a person’s race, ethnicity, religion, political opinions, trade union membership, sexual orientation, or criminal record; or
- the personal information of anyone under 13.
This repeats Terms clause 7 with teeth: collecting any of the above through RaceLink is a material breach of this Agreement, independent of whether it also breaches the Terms. You must not collect any personal information you do not actually need, and must not require a member to answer a question irrelevant to participating in your League.
By building or enabling a form, you agree that its purpose is running your League — covering things like season sign-up, driver declarations, and registration payments — and RaceLink does not require you to state a separate purpose for each individual form.
If we become aware that a form appears to request any of the above, we may disable it without notice.
4. Subprocessors
We use the following subprocessors to provide RaceLink, both of which may handle your League’s member data as part of that:

If we add a new subprocessor that will handle your League’s member data, we will give you notice before it starts. If you object and we cannot resolve it, you may stop using the RaceLink feature that depends on that subprocessor; this Agreement does not otherwise give you a right to block a subprocessor we consider necessary to operate RaceLink.
5. Data breach notification
If we become aware of a data breach affecting your League’s member data, we will notify you without undue delay, with what we know at the time: what happened, what data was involved, and what we are doing about it. You remain responsible for deciding whether and how to notify your own members or any regulator, but we will give you what you need to make that decision, and will help where you ask us to.
6. Assisting with member requests
Where a member of your League asks you to access, correct, delete, or export the information your League holds about them, we will help you respond — using the tools already available to you, and with direct technical assistance where that isn’t enough. See Privacy Policy §10 for the rights that apply to your members directly against us; this section is about the requests they make to you, as the controller of what your League collected.
7. Confidentiality
We treat your League’s member data as confidential. Access is limited to personnel and subprocessors who need it to operate, support, or secure RaceLink, and we do not disclose it to anyone else except as this Agreement, the Privacy Policy, or the law requires.
8. On termination
If you stop owning your League, delete it, or close your RaceLink account, your League’s form data is deleted on the schedule in section 2. Before that happens, you may request an export of your League’s data by emailing dev@racelink.io.
9. Indemnity
Terms clause 18 already requires you to indemnify us for your collection, use, disclosure, or handling of your members’ personal information, and for any claim by a member or a regulator arising from it. That indemnity applies in full to your obligations under this Agreement.
10. Liability
This Agreement does not expand or reduce the liability limits already set out in Terms clause 17 — it operates alongside them, not instead of them.
11. Term and changes
This Agreement applies from the moment you accept it for as long as you own a League on RaceLink, and its confidentiality and deletion obligations survive after that. We may update this Agreement the same way we update the Terms — see Terms clause 20 — and if a change is material, we will ask you to accept the new version before you can continue creating or enabling forms or connecting a payment account.
12. General
This Agreement is governed by the laws of New South Wales, Australia, on the same terms as Terms clause 21. Together with the Terms of Service and Privacy Policy, it is the whole agreement between us about how your League’s member data is handled — see Terms clause 22.
